Knowing how much material you have on hand and the current condition of your equipment is critical for the day-to-day operations of your agency.

With MyGov’s fully integrated Work Orders module, any use of material on a job auto-updates your inventory, while any use of equipment auto-updates its usage. This allows the Asset Manager to auto-prompt you for material orders or to auto-schedule equipment maintenance.

With the number of inventory items coming in and out of your agency, it can be difficult knowing when to order, what’s been ordered or needs to be reordered.

To make ordering easy, MyGov allows you to set a trigger value for reordering low inventory. Then, when the inventory reaches this threshold, you will get auto-prompts and a to-do list of items to order. MyGov also includes a favorite vendor tool for easily tracking orders by vendor.

Even the most cautious of us can be off sometimes between our electronic records and our actual inventory.

To solve this, MyGov includes a built-in cycle count tool, which auto-prompts you to count certain areas at set intervals, then gives you a simplified way to enter and correct counts on the fly. MyGov even includes a UPC labeling and lookup tool for easy lookups.

MyGov allows you to define the work to be completed using predefined conditions, such as time, hour meter or odometer, then auto-triggers your specific maintenance jobs in the fully integrated Work Order module. No need to worry again about missing deadlines!

Trying to find buried infrastructure by pulling out old paper maps or asking someone who has been around a really long time is time consuming and risky.

We solve this by displaying infrastructure on a map alongside your location so you know just where to find it. We can automatically pull this from your existing GIS, or you can create it with our fully integrated GIS Mapping module.

How long is this going to take?

Most agencies install Asset Manager in six weeks. Time depends mostly on how quickly you submit the requested items. We will get our part done according to the six-week implementation plan.

Training

What kind of training will we receive?

Excellent, online training from a dedicated trainer who will teach you how to run your system using your actual setup. Also, if you forget something, add new people or want to learn something totally new, all training is available to you using the built-in “MyGovU” – our online video learning platform.

Support

What is your support like?

Crazy fast with an average response time of less than four minutes on submitted support tickets. Yes, we use support tickets for all support questions. You are also welcome to call us, but the call will convert to a support ticket since this is our audit trail of all support interactions.

Imports

Can you import my old data?

Yep, we have a built-in import tool just for Assets. You can use the tool without us, or hire us to clean your data then use the tool. FYI, we also have built-in import tools for related data sets, such as locations, owners and contacts.

System Requirements

Are there any additional hardware or software I need to buy?

Yes and No. No, in that the system runs on any device that has Internet access and a browser. Yes, if you want to conduct work in the field, you need a good tablet with a cell connection to the Internet and a built-in camera. We highly recommend all Crew Leaders have a field tablet.

Other Modules

Are there other modules that are required or recommended?

You can run Asset Manager by itself, but most agencies also use the Work Order module and the GIS Mapping Tool. Work Orders tracks jobs, usage and costs related to workers, materials and equipment and auto-updates your Asset Manager module. The GIS Mapping Tool locates your assets and infrastructure, routes your work orders and jobs, and allows you to start work orders from the map.
